The problem

Since its establishment more than 50 years ago, HeartPlace has expanded to dozens of clinic locations throughout north Texas. But as the organization grew, its scheduling complexities intensified. Before long, HeartPlace needed a more reliable way to manage last-minute cancellations and reduce no-shows.

The solution

In 2022, HeartPlace implemented Phreesia’s smart-scheduling tool—a text message-based solution that automatically fills open appointment slots with clinically relevant patients.

Phreesia’s rules-based workflows let HeartPlace customize which types of appointments can be automatically moved up. That means Phreesia only offers patients an earlier appointment for appropriate visit types, and the staff at HeartPlace don’t have to spend time correcting scheduling errors.

The Phreesia difference

Since implementing Phreesia, HeartPlace has automatically filled hundreds of appointment slots every month—including many last-minute cancellations. Phreesia has also accelerated care delivery, allowing patients to be seen 36 days sooner, on average.

And because HeartPlace also uses Phreesia’s intake tools, patients can check in, make payments and update their information in advance, giving them more high-quality time with their provider once they arrive.
