Submissions of forms that have been configured for workflow, and whose workflow settings include the elements required for business process logging, may be viewed in the Business Processes area.
To get to this screen, select Business Process from the main Submissions tab in the Formatta E-Forms Manager administrative interface.
Once you are on the Business Process screen, you will see an area that allows you to enter search criteria for the business process information that you want to view.
Fields in this area include:
Submitted From: Choose the beginning of the date range during which the business process(es) you are looking for would have begun.
To: Choose the end of the date range during which the business process(es) you are looking for would have begun.
Status: Using this dropdown list, you can filter the search results to show only business processes that are complete, in progress, or you can show all.
Form Category: Selecting a form category in this list will filter the list of forms in the next field, so that it will contain only forms in the category you have chosen. This can be useful if you want to quickly limit the list of forms to search on.
Form: You may select a particular form to filter the list to business processes associated with a particular form whose workflow processes you want to find. You may optionally choose "All Forms" if you do not want to filter by form.
Log Message Contains: Entering a value here will further limit search results to business processes that contain logging information containing the exact text that you specify. This can be very useful if you know, for instance, that workflow process logs the name of people involved in the process and you are looking for process involving a particular person. This should also highlight the importance of customizing business process logging messages to use form data, as doing this can make searching out particular business processes much easier.
Once you have entered the desired criteria, click the Search button. The system will search out business process logging messages (the type that were set up for Administrator logging in workflow action configuration) and will display the results in a list.
Each item in this list displays the following data elements:
BP ID: The unique numeric identifier assigned to the business process when it was begun.
BP Name: The name of the business process, assigned in the workflow's Start Business Process action configuration.
Started: The date and time at which the business process started.
Completed: The date and time at which the process completed. This will be blank if the process is still in progress.
Form Title: The title of the form involved in the business process.
Delete: By clicking on the Delete icon, you can delete all business process logging for the record that you choose.
You may click a row in this list to open a window that shows a detailed account of every submission that has occurred in the process, along with every workflow action that was executed by each submission.
The top part of this screen shows the ID, name, and form title associated with the business process. Below this is an account of each submission involved in the process so far. Next to each submission is the submission's ID, followed by the Formatta e-forms icon, which you can click to open up a copy of the submitted form.
Below each submission record you will see one or more logged messages, along with the date and time that the message was created. Each log message displayed is a result of an action that was executed as part of a form workflow, which has business process logging for form administrators configured.
