Submissions

Submission Screen IconThe Submissions area of Formatta E-Forms Manager allows you to view digitally-signed forms, forms submitted directly to Formatta E-Forms Manager, and data associated with these submitted forms.

Signed Forms

Formatta E-Forms Manager allows end users to digitally sign Formatta forms with User IDs and passwords.  These credentials are specified by the form administrator in the Administration screen, and are used as part of Remote Signing to authenticate during the form signing process.  For auditing and record-keeping purposes, Formatta E-Forms Manager also retains a copy of a form each time it is signed.  These signed forms can be reviewed by selecting the Signed Forms tab.

Submitted Forms

All forms submitted to Formatta E-Forms Manager are available for review by using the Submitted Forms screen.  A search capability allows you to narrow your searches using a variety of search criteria.  

Form Data

Data from submitted forms is available by selecting the Form Data screen from the Submissions tab.  This data can be displayed in Formatta E-Forms Manager and exported to a variety of formats.  

 

Note the distinction between "signed" forms and "submitted" forms.   Depending upon your business process and how the form is designed, forms may be signed, but not submitted to Formatta E-Forms Manager for processing.  For example, you could have a form that requires two signatures before it can be submitted.  Formatta E-Forms Manager will retain an audit copy of the form each time it is signed (available in the Signed Forms screen); however, until the form is signed by two authorized users it cannot be submitted for processing.  This also means that the data from this form will not be displayed in the Submitted Forms screen or available for export in the Form Data screen.

Image Export

After submitted forms have been received and processed by Formatta E-Forms Manager, you have the option of exporting content related to the submitted forms (copies of the forms in .pff format, images of the form pages, and form data that can be used for indexing the content) to the file system so that it may be sent into external document management systems.  Additionally, if your Formatta E-Forms Manager installation has the ApplicationXtender Integrator feature enabled, you may view progress and the results of submitted form content automatically exported into ApplicationXtender.

Business Process Logging

When a form is configured for workflow and its workflow configuration includes business process logging, then the execution of its workflow actions will record customizable information about the status and history of its business processes.  In the Business Process section of the Submissions area you may search and view information about current and completed business processes.

 

Using the Submissions Tab

The Submissions tab displays several options for getting to information about submitted and signed forms:
